Free task tracker for teams: what the free plans really include
Trello, ClickUp, Asana, YouGile and Tydy compared: how many people, boards and how much storage the free plan gives you, what it costs once you outgrow it, and which tracker fits a team that works in Telegram.

What “free” really means in a team task tracker
Almost every task tracker lets you start for free. The real question is where the free plan stops. Some tools cap people, some cap boards or projects, some cap storage, and some only offer a 14-day trial dressed up as "free".
Before you compare tools, check five things.
- People. Count everyone who will move tasks, not just the people who create them.
- Boards and projects. A limit of 10 boards goes quickly if you keep one board per client or per stream of work.
- Storage. Screenshots, mockups and voice notes are part of real tasks. A small storage cap is felt in the first month.
- Free plan or trial. This article only compares free plans, not time-limited trials.
- Where tasks come from. If work starts in a chat, what matters is whether the tracker can turn that conversation into tasks, or whether someone still copies it over by hand.

Five free task trackers for teams
Trello: 10 collaborators and 10 boards
Trello is the classic Kanban board. Its Free plan is "free for up to 10 collaborators per Workspace" and includes unlimited cards, up to 10 boards per Workspace, unlimited storage with a 10MB file limit, 250 Workspace command runs per month, assignees and due dates, mobile apps and an Inbox that captures to-dos from email, Slack and Teams.
Standard costs $5 per user per month billed annually ($6 billed monthly) and removes the board limit.
ClickUp: unlimited members, 60MB of storage
ClickUp Free Forever is the most generous plan here on head count: unlimited members and unlimited tasks, with Kanban boards, sprint management, calendar view, collaborative docs and one form. The catch is storage: 60MB for the whole Workspace, and attachments are what counts against it.
Unlimited costs $7 per user per month billed yearly ($10 billed monthly) and adds unlimited storage, integrations and Gantt charts; Business is $12 per user per month billed yearly. ClickUp's FAQ notes that upgrading applies to the whole Workspace, meaning all its members.
Asana: free for two
Asana Personal is "for one or two people managing personal projects": free forever, 2 users, unlimited tasks and projects, list, board and calendar views, unlimited storage with a 100MB file limit and 100+ free integrations. For a team of three or more it works as a way to learn Asana before paying.
Starter costs $10.99 per user per month billed annually ($13.49 billed monthly), with no seat limit, timeline and Gantt views; Advanced is $24.99. Prices depend on your region: the same page shown from Europe lists €0, €10.99 and €24.99. If Asana is already too expensive for your team, see Asana alternatives for small teams.
YouGile: the first 10 users with every feature
YouGile is a project management tool with a built-in team messenger. Its English pricing page lists Free at $0 for up to 10 users, with "all function without restrictions". From the 11th user, Cloud costs 594 rub per user per month, and the self-hosted version is 995 rub. Prices are in roubles, so it mainly suits teams that can pay in RUB.
YouGile connects to Telegram through an extension: an admin enables it, you create a bot with BotFather, and a task is created by messaging the bot and choosing the project, board and column.
Tydy: a free plan to test tasks from Telegram
Tydy works differently from the rest of this list. Nobody has to type tasks into it. Tydy connects to the Telegram work chats you choose, reads several messages from one person as one request and proposes a task. Screenshots and voice notes stay with the task, and a follow-up two hours later updates the same card instead of creating a duplicate. When Tydy is not sure, the change waits in the AI Inbox, where you can accept, edit or ignore it, and undo what was applied.
The Free plan is honestly small: up to 2 members, up to 3 projects and 50 AI actions per month. It includes tasks, Kanban and Task Conversation, Telegram Hub, the AI Inbox and MCP for AI agents. That is enough to connect one work chat and see in a week how many tasks used to get lost in the conversation. A team of up to 5 needs Pro: RUB 990 per month for the whole workspace, with no per-member charge. Payment is in roubles via YooKassa.
When the free plan stops being enough
Free plans are great for getting started, but teams grow, and so do boards and files. Here is what a month costs for a team of 5 and a team of 12. This is plain arithmetic on official list prices as of October 28, 2026, with no volume discounts or taxes.
| Monthly cost, as of Oct 28, 2026 | 5 people | 12 people |
|---|---|---|
| Trello | $0 if 10 boards are enough | Standard: $60 billed annually, $72 billed monthly |
| ClickUp | $0 if 60MB of storage is enough | $0 on Free Forever, or $84 on Unlimited billed yearly |
| Asana | Starter: $54.95 billed annually (Personal is for 2) | Starter: $131.88 billed annually |
| YouGile | 0 | 1,188 rub: users 11 and 12 pay |
| Tydy | Pro: RUB 990 (Free is for 2) | Team: RUB 2,990, up to 15 members |
"Free" and "cheap" are different questions. For five people, Trello, ClickUp and YouGile can cost nothing. As the team grows, per-user pricing grows with every new person, while Tydy is priced per workspace.
Don't pick the most generous free plan. Pick the tool your team will open every day, and check what it costs when the team doubles.
How to choose a free task tracker in five steps
- Count people six months out. If you will grow from 4 to 8, a plan capped at 5 will need replacing this year.
- Find where tasks are born. If they come from meetings or forms, any tracker here will do. If they come from Telegram chats with clients and colleagues, the Telegram connection decides it.
- Estimate boards. One board per client or stream hits a 10-board limit quickly.
- Check storage. Screenshots, mockups and voice notes add up: look at file size and total storage limits.
- Run one real week. Use current work, not a demo project. After a week you will know whether the team opens the tracker on its own.
Tydy Free: pros and cons
Pros
- No card required.
- Tasks are built from the conversation in connected Telegram chats, so nobody copies them over.
- Follow-ups update the same task; uncertain changes wait for review.
- Kanban, Task Conversation, the AI Inbox and MCP are included on Free.
Cons
- Only 2 members and 3 projects, so for a team it is a trial-sized plan.
- 50 AI actions per month will not last long in busy chats.
- Screenshot understanding, voice transcription and your own bot are on paid plans.
- Prices are in roubles via YooKassa. And if your tasks don't start in Telegram, most of Tydy's advantage goes away.

FAQ
What is the best free task tracker for a small team?
It depends on the limit that matters to you. As of October 28, 2026, ClickUp Free Forever has unlimited members but 60MB of storage, Trello Free covers 10 collaborators and 10 boards per Workspace, and YouGile is free for up to 10 users. Asana Personal is for 2 users.
Is there a free task manager with unlimited users?
Yes. ClickUp Free Forever lists unlimited members; its main limit is 60MB of storage per Workspace.
Is there a free task tracker that works with Telegram?
YouGile has a Telegram bot that creates a task when you message it. Tydy connects to your work chats and proposes tasks from ordinary conversation; its Free plan covers 2 members and 3 projects.
What is the difference between a free plan and a free trial?
A free plan has no end date but has limits on people, boards, storage or features. A trial unlocks paid features for a limited time. This article compares free plans only.
How many people can use Tydy for free?
Free allows up to 2 members and 3 projects with 50 AI actions per month. Pro at RUB 990 per month covers up to 5 members, Team at RUB 2,990 up to 15. Pricing is per workspace, not per member.
Do clients need a Tydy account?
No. Clients keep writing in the same Telegram chat. The Tydy bot sits in the group, because Telegram delivers group messages only to a bot that is an admin in the group, and your team sees tasks, the board and the history in Tydy.
