Why people look for a Todoist alternative

Todoist is loved for speed: type a task in one line, the date is picked up from the text, and lists sync everywhere. For personal tasks that is often enough for years.

The search for an alternative usually starts when the list stops being personal. Colleagues need tasks assigned to them, clients send changes, and the discussion happens in a messenger. At that point what matters is how the tool works for a team, and what it costs per person, not just how fast you can jot something down.

Below: what Todoist actually gives you on each plan, what to check before switching, and five alternatives with prices as of Oct 31, 2026.

What Todoist offers and what it costs

The Todoist pricing page lists three plans in USD:

  • Beginner, $0: 5 personal projects, list and board layouts, 3 filter views, one week of activity history.
  • Pro, $5/month billed yearly ($60) or $7 monthly: 300 personal projects, calendar layout, deadlines, Task Assist.
  • Business, $8 per user/month billed yearly ($96) or $10 monthly, plus local tax: a shared team workspace, up to 500 team projects, team roles and permissions, centralized billing.

One detail from the comparison table: on Beginner and Pro you can share a personal project with up to 5 people, but the team workspace, team projects and team activity log are Business-only. So proper teamwork in Todoist is paid for every member.

Todoist shows prices in your local currency depending on your region. The figures here are in US dollars as of Oct 31, 2026.

Todoist as of Oct 31, 2026: Beginner free, Pro $5/month, Business $8 per user/month billed yearly.

What to check before you switch

  1. Who the list is for. If the tasks are only yours, you want a fast personal planner. If other people give and receive tasks, you want a team tool with assignees, due dates and a shared board.
  2. Team size and how the price is counted. Per user, per family or per workspace. For a team of five the difference can be several times.
  3. Where tasks come from. If half of your work starts in a chat, check whether the tool only sends notifications there, creates a task when you message a bot, or reads the conversation itself.
  4. Devices and calendar. For personal planning, mobile apps, widgets and calendar views matter most.
  5. Migration. Before moving hundreds of tasks, run one project in the new tool for a week and see if it sticks.

Five alternatives in detail

TickTick: the closest personal planner

TickTick covers what Todoist users like and adds habits and a focus timer. Free includes 9 lists with 99 tasks per list, list and kanban views, natural-language input, reminders and cross-platform sync.

Premium costs US$49.99 per year (less than US$4.17 a month): 299 lists, 999 tasks per list, multiple calendar views and task duration. TickTick’s comparison table lists a member count of 2 on Free and 29 on Premium, so it suits one person or a small shared list better than a whole team.

TickTick as of Oct 31, 2026: Free with 9 lists and 99 tasks per list, Premium US$49.99/year.

Microsoft To Do: free and tied to Outlook

Microsoft To Do is free and syncs across the web, iOS, Android and Windows. My Day suggests what to focus on today, tasks can be split into steps, and it works with Outlook tasks. You can share a list with friends, family or colleagues.

It is a good free replacement if your work already runs on Microsoft 365. The product page talks about shared lists, not about assigning tasks to people with roles, so for team workflows it links on to Microsoft 365 for Business.

Teams costs $4.99 per member/month billed annually ($7.99 monthly): a collaborative workspace, unlimited project boards, unlimited team members and admin permissions.

Trello: when the list becomes a board

Trello is a common next step when a personal list turns into shared work. Free covers up to 10 collaborators and up to 10 boards per Workspace, unlimited cards, assignees and due dates. Standard costs $5 per user/month billed annually ($6 monthly) and removes the board limit; Premium is $10 ($12.50 monthly).

Tydy: when tasks arrive in Telegram

Tydy solves the part a to-do list cannot: tasks that are born in a conversation. It connects to Telegram work groups and forum topics and, in early access, to the personal Business chats you pick. Tydy reads a burst of messages from one person as one request, checks open and similar tasks, and decides whether it is new work or a change to an existing task.

Every task keeps its conversation: what the client wrote, what the team replied, what AI changed. Voice notes stay with a transcript, screenshots attach to their task. When Tydy is unsure, the change waits in the AI Inbox and a person decides. Tasks live on a Kanban board with custom columns in each project.

Plans are per workspace, members are not billed separately. Free is 0 ₽: up to 3 projects, up to 2 members, 50 AI actions and 30 voice minutes a month. Pro is 990 ₽/month: unlimited projects, up to 5 members, screenshot understanding, a custom Telegram bot. Team is 2,990 ₽/month for up to 15 members. Payment is in roubles via YooKassa.

  • A small team needs a shared board for free: Trello Free, up to 10 collaborators.

Tydy instead of Todoist: pros and cons

Pros

  • Tasks appear from normal Telegram conversations, without bot commands or copy and paste.
  • Follow-ups hours later update the same task instead of creating duplicates.
  • Voice notes with transcripts and screenshots attach to their task.
  • AI suggests, a person decides: uncertain changes wait in the AI Inbox.
  • Priced per workspace, not per member.

Cons

  • It is not a personal planner: habits, focus timers and widgets are not described on tydy.dev.
  • Free is small: 2 members and 3 projects.
  • Pro is for up to 5 members, Team for up to 15.
  • Personal chats via Telegram Business are in early access.
  • Payment is in roubles via YooKassa only.

See how it works for a freelancer with clients on the For freelancers page, and for studios on For agencies. Connecting the bot to a group is covered on Telegram tasks, plan limits on Pricing.
